Overview

Presbyterian Homes & Services -Optage Meals is seeking a Office Manager to join their team.  Optage Meals Office Manager is responsible for the day-to-day oversight of customer service operations for the Home Delivered Meals Program, including culturally specific offerings such as ethnic Home Delivered Meals.

 

REPORTING STRUCTURE: The Optage Meals Office Manager reports to the Optage Meals Director or designee and directly manages the Optage Meals Home office team including but not limited to Billing Assistant, Compliance and Routing Supervisor and Intake Assistants.

Responsibilities

The Optage Meals Office Manager is responsible for the day-to-day oversight of customer service operations for the Home Delivered Meals Program, including culturally specific offerings such as ethnic Home Delivered Meals. This role is accountable for planning, organizing, developing, evaluating, and directing processes related to client intake and discharge, menu coordination, customer support, and volunteer. The Office Manager ensures compliance with applicable regulations and maintains high standards of service delivery consistent with organizational values and best practices.

 

Key Responsibilities included but are not limited to:

  • Oversee all customer service operations for the Home Delivered Meal Program, including culturally specific ethnic meal offerings.
  • Direct the intake and discharge process, including the oversight of annual assessments for Title III participants.
  • Manage customer service calls and oversee resolution of customer concerns.
  • Support delivery logistics, including route planning and scheduling.
  • Ensure effective communication systems are in place with all internal and external stakeholders.

Qualifications

  • Associate’s degree in Business Administration, Hospitality Management, Food Service Management or related degree or equivalent experience.
  • Prior management experience in customer service functions and staff management. Preferred: prior experience with home delivered meals programs, food service experience in a restaurant, health care or senior services setting.
  • Demonstrated strong customer service, communication, problem solving, and self-direction skills.
  • Knowledge of billing systems and processes, ability to learn and assist with current and future software program upgrades or needs, and strong reporting abilities preferred.
  • Demonstrated computer proficiency.
  • Must have flexibility, personal integrity, and the ability to work effectively with referral sources, clients, coworkers, family members, visitors, and the general public.
  • Demonstrated compatibility with PHS's mission and operating philosophies.
  • Demonstrated ability to read, write, speak and understand the English language to communicate with all customers.

Pay Range

The estimated starting pay range for this role is $23.88-35.82 per hour. This good faith estimate is based upon PHS’s typical starting pay range for this role. Actual pay range depends on many factors including each individual employee’s qualifications and market conditions and is subject to change.
