Overview

Presbyterian Homes & Services is seeking a Lead Administrative Receptionist to join their team.

 

The Lead Administrative Receptionist–Home Office is responsible for providing excellent customer service and public relations needed for quality communication and services to all customers. This key position serves as a conduit between the home office and 60+ sites, provide front desk security, steward of the home office environment and an information resource for staff, visitors, website inquiries and callers.

 

This is an in-person, on-site full-time position, located in Roseville, MN.

 

REPORTING STRUCTURE
The Lead Administrative Receptionist–Home Office reports directly to the Home Office Executive Assistant/Front Desk Manager. The Lead Administrative Receptionist provides direction and supervision to the other receptionist staff and routinely takes and coordinates project requests from the Home Office Functional teams.

Responsibilities

The Lead Administrative Receptionist–Home Office is responsible for providing excellent customer service and public relations needed for quality communication and services to all customers. This key position serves as a conduit between the home office and over 60 communities, provides front desk security, stewards the home office environment and is an information resource for staff, visitors, website inquiries and callers.

 

Key Responsibilities included but are not limited to:

  • Maintain effective communication systems with all customers and staff to meet or exceed expectations. Help create an environment of teamwork. Ability to maintain effective communication systems with key stakeholders. Use proactive and positive language; use active listening skills; convey information accurately and timely; communicate openly and directly with others.
  • Serve as lead and point person for the Home Office receptionist team including communication of changes, scheduling, and coordinating work providing constructive feedback, Coordinate projects and workflow. Ensure information is well understood and implemented by the team. Synergize department’s goals with organizational goals by actively participating in department and campus activities, meetings, or processes, including daily Stand-Up. Assist in the orientation of new team members as assigned. Effectively collaborate with department and campus staff to promote front desk customers and team satisfaction.
  • Create a positive first impression by greeting all customers in a cheerful, warm, courteous, and professional manner. Demonstrate professionalism in body language, mannerisms, appearance, and maintenance of physical workspace at all times. Provide excellent customer service, communicate professionally, and handle challenges gracefully. Utilize available resources to respond to customer inquiries and direct them to the appropriate staff. Serve as a conduit between the home office and 50+ sites; serve as a resource for information.
  • Maintain professional and safe environment through coordinating emergency/crisis procedures and communication per guidelines from the Safety Committee. Maintain knowledge and basic understanding of PHS and campus programs and services, key contact personnel, and individual departmental roles. Manage multiple inputs, interruptions, and changing priorities with composure. Serve as the information center for all customers.
  • Other areas as identified to support aligned goal setting and achievement as driven by Front Desk Manager.

Qualifications

  • Minimum High School diploma required; post High School education desired.
  • 3-5 years related or equivalent education and experience as an Administrative Assistant or Office Administrator is required; previous supervisor experience desired.
  • Excellent interpersonal, communication, multi-tasking and organizational skills.
  • Experience with various office equipment and multi-functional devices such as copy machines, multi-line phones, postage meter, fax machines, etc.; experience with audio/visual projection equipment is desired.
  • 3-5 years experience with demonstrated computer proficiency and experience in Office 365 Suite of software, including: Outlook, Excel, Word, SharePoint, Teams and PowerPoint.
  • Demonstrated compatibility with PHS's mission and operating philosophies.
  • Demonstrated ability to read, write, speak and understand the English language to communicate with all customers. 

Pay Range

The estimated starting pay range for this role is $21.93-$27.00 per hour. This good faith estimate is based upon PHS’s typical starting pay range for this role. Actual pay range depends on many factors including each individual employee’s qualifications and market conditions and is subject to change.
